Everyone who will use Epic will need to receive training to use the new system.

Classes are role-based and assigned to you based on your specific role with the organization and expected utilization of Epic.

  • Woman’s employees: Department managers or designees will register end users for training. Speak to your supervisor if you have any concerns or questions about the scheduling process.
  • Medical Staff: Members of the medical staff will be responsible for scheduling their training classes in Epic U at times that best meet their schedule. Contact Medical Staff Services if you have any concerns or questions about the scheduling process.

Training for most end users begins in November 2023 and will last through January 2024 prior to go-live on Feb. 1, 2024. Super Users will be trained early between October 23-November 17.

Training assignments vary by role, but you should expect to take some combination of self-guided e-learnings, classroom training and various readiness activities after class to practice what you have learned.

This information will be available to you by logging into Epic U at https://training.epic.com/EUT. You will also receive a calendar hold from Epic after you are registered.

Unless otherwise noted, all classes will take place in-person at one of Woman’s facilities. You will be able to view the location in Epic U.

Most training tracks will have prerequisite e-learnings prior to classroom training. Some will be recommended, while others will be required before taking classroom training. Recommended e-learnings will appear with a dotted circle and have an asterisk in their name, while required e-learnings will have a solid circle.

You will not be able to complete a training track without completing all required activities, including prerequisite e-learnings.

Important links for your class (to join the class, launch the environment, etc.) are accessible in Epic U in both the Training Track Details and the Your Upcoming Classes sections.

While you are not required to bring anything to class, we suggest bringing something to write with and a water bottle to stay hydrated. You are allowed to bring food and drinks into the training rooms if you would like.

You should wear normal work attire to classes, aiming to be as comfortable as possible. We recommend bringing an extra layer of clothing.
All classes will be taught by a virtual instructor from Epic.
Most classes will have a Super User or other Woman’s representative in the room to support attendees and answer questions.
If you have a disability that requires an accommodation, please contact a human resources representative from your organization who can work with Woman’s Epic Training team for accommodations on your behalf.
Representatives from IS will be on call to help with any technical issues during training. Alert the super user supporting your class first, and if they can’t help, they will reach out to the Help Desk (x8148) for further assistance.

No. Your Epic trainer checks you in. If you attended class but it is not showing as complete in EpicU, email EpicTrainingQuestions@womans.org with your name, the name of the class, and the date you attended.

Ask the Super User supporting your class for assistance and/or use the tools in Zoom to ask your trainer questions.

Nurses, physicians and advanced practice providers who have used Epic in the last 12 months in the same capacity as your current role with Woman’s have the opportunity to test out. If you meet these criteria but did not receive information about testing out, contact EpicTrainingQuestions@womans.org.

You will need to work with your supervisor to unregister you from the offering you can no longer attend and register you for a different offering. If you need to cancel on the day of your class due to emergency circumstances, please notify the training team via email at EpicTrainingQuestions@womans.org.

If you know you’ll miss more than 20% of a class, please work with your supervisor to reschedule for a more suitable time. If you miss more than 20% of the class, you would need to reschedule for a later date.
Classes that are five hours or longer will include a 30-minute break, except for provider classes with trainees who choose not to take the break. Short 10– 15-minute breaks are offered approximately every one-and-a-half hour.
Please make every effort to attend your scheduled offerings as we have a limited amount of offerings for each role. If you have to miss for any reason, let your supervisor know as soon as possible so you can be rescheduled for a later date.
The majority of end users will be prompted to complete an assessment at the end of their training. You need to earn at least an 80% to complete your required training. If your role does not require you to document in Epic and you have view only access, you will not need to take an assessment.
You will have two opportunities to pass the test with an 80% or higher the day of your class. If you do not pass the second time, you will have to attempt the test on your own at a later date. You are able to take the assessment twice each calendar day, but you have unlimited attempts to receive a passing score.
You can practice scenarios in a playground environment with the login information you are given at training. You may also be assigned “Day-in-the-Life” activities to help ensure you can apply what you learned in the classroom to your actual day-to-day job function.

Day-in-the-life activities can be in several different formats. There may be simple exploration sessions, a lab setting with sample patients, shadow charting, or various other activities. Your department leaders will help determine which readiness activities are needed for your role.
