Epic Monthly Status Reports

The User & System Readiness phase continues with a focus on testing. In mid-September, the project team began Integrated Testing Round 2, which validates the workflows Woman’s end users will utilize. The project team also kicked off Parallel Revenue Cycle Testing, which focuses on mirroring real-life claims. Go-Live Readiness Assessments (GLRA) provide identification and mitigation plans for project risks and are scheduled at 30-day increments prior to Go-Live. Woman’s Project Champions and the IT team completed the GLRA process for the 120 Day event and workgroup leaders will participate in the upcoming 90-Day event.

The project continues in the User and System Readiness phase and testing activities increase in type and volume. Interface testing is being conducted to ensure patient-related data (demographics and room/bed assignments) flows properly from Epic to the associated third-party vendor.

The fourth and final Build Wave concluded on June 23 and closed out the System Configuration phase. The User and System Readiness phase kicked off and with this transition, the focus shifts from workflow development to content creation (Order Sets and Notes) and system testing. Operational engagement increases with new validation activities happening across many departments. The project status remains at watch due to outstanding scope decisions and Cancer Center build being behind schedule.

In May, Woman’s completed the third Build Wave of system configuration. During Build Wave 3, workgroups reviewed 1,097 building blocks and applications teams completed 1,647 tasks. While operational engagement remains impressive and build progress remains largely on track, the overall project status remains at watch due to delays with third-party test system availability and delayed Cancer Center scoping decisions.

In April, Woman's completed the second of four build wave of Epic implementation. The Epic team joined us onsite the week of April 24 to collaborate on build and workgroup sessions with operations.
